How to reply to Google reviews, good and bad (with examples)

Updated 28 October 2026 · By the Revvo team

Replying to reviews takes a minute each and shows every future customer that a real person cares about the shop. Here is how to reply to good, mixed and bad reviews, with examples you can adapt.

Simple rules for every reply

  • Reply within a day or two, while the customer still remembers the visit.
  • Use their name, and mention something specific they said.
  • Keep it short: two to four sentences.
  • Sign with a name (“Priya, Manager”). It feels human.
  • Never share a customer’s bill, phone number or private details.

Replying to a 5-star review

“Thank you, Anjali! So glad you loved the bridal set, and we will pass your kind words to Ramesh ji. See you again soon. – Revvo Gold Shop”
“Thanks a lot, Rohit! Happy the biryani hit the spot. Next time try our kebab platter too. – Team Spice Route”

Replying to a mixed (3-star) review

Thank them, accept the point honestly, and say what you will do.

“Thank you for the honest feedback, Meera. You are right that the wait was long on Saturday. We have added one more stylist for weekends. We hope to see you again. – Glow Salon”

Replying to a 1-star review

Stay calm. Other customers read your reply more carefully than the review itself.

  1. Apologise for their experience (not “if” you upset them).
  2. Do not argue facts in public.
  3. Give a direct way to sort it out offline.
“We are sorry, Vikram, this is not the experience we want for anyone. Please WhatsApp us at 98XXX XXXXX so we can understand what went wrong and make it right. – Manager, Fresh Bites”

What never to write

  • Blaming the customer, or calling a review fake without proof.
  • The same copy-pasted reply under every review.
  • Offers in exchange for changing or removing a review.

If a review is really fake or abusive, report it to Google instead of fighting it in a reply. See Google review rules.

Save time on replies

Revvo’s dashboard suggests a short, polite reply for every review your customers write through your QR code. You read it, change anything you like, and paste it on Google.

Questions shop owners ask

Should I reply to every Google review?

Yes, if you can. Short, personal replies to both good and bad reviews show new customers that the shop is active and cares.

How do I reply to a negative Google review?

Apologise for the experience, avoid arguing in public, and give a direct way to resolve it offline, such as a WhatsApp number.

Can I delete a bad Google review?

No. Only the reviewer can delete it. If it breaks Google’s policy (for example it is fake, abusive or from someone who never visited), you can report it to Google for removal.
